We collect personal information when you communicate with us or register for one of our rides or events. To ensure a safe and appropriate experience, we may collect information that includes accessibility details and health data, if provided.

Your information will be used to process your booking and provide the best experience, including selecting the right bike and equipment based on your needs. By providing special categories of data, such as accessibility or health information, you consent to us using it for this limited purpose.

The lawful basis for using your information under the UK General Data Protection Regulation is Article 6(1)(f) – for legitimate interests pursued by the controller, such as administering the event safely. If you are paying for an event, processing your personal information is necessary for the performance of a contract (Article 6(1)(b)). Special categories of data (e.g., health data) are processed under Article 9(2)(a) – based on your consent.

We will store your information securely and use it solely for the purposes described. It will only be shared with third parties in the event of a serious incident, where it may be necessary to share details with emergency services, the Health and Safety Executive, or our insurers.

As part of our funding agreements, we may share anonymised data with funders (e.g., Big Lottery Fund) for project analysis, ensuring that individuals cannot be identified.

Your information will be kept for four years after the event, in accordance with our retention policy, and then permanently deleted.

Online bookings

You can book events through our website (pedall.org.uk) We will collect the minimal information needed to process your booking, such as:

  • Name
  • Contact details
  • Accessibility information

We may contact you for post-event evaluation. Any payment information is processed by PayPal, and PEDALL does not handle payments directly. For further details, please refer to privacy policies.

Your rights and further information

You can request that we stop using your information, and we will consider your request carefully. If there is no valid reason to retain your information, we will delete it immediately.
